HR DEPARTMENT PROCESS IMPROVEMENT

Business Challenge
Our client wanted to improve its Human Resources (HR) processes and workload across the department and allow the HR team to focus on more strategic projects. Additionally, this nonprofit organization had recently implemented a new software system for its HR functions. The system was being utilized sparingly by the HR department and therefore, none of the expected process efficiencies were realized. Specifically, this client needed help:

  • Streamlining and mitigating HR risks to the department, employees and organization
  • Identifying resource needs for the department
  • Leveraging the new software system’s capabilities to help improve department efficiency

Solution
The Eagle Hill team assisted this organization with an analysis of their Human Resources organization and processes. This approach included a three phased effort:

  • Current State Analysis. Eagle Hill defined a workflow analysis including the current state of HR operations, including process and organizational interdependencies and complexities. Eagle Hill worked with our client to identify and prioritize challenges as they related to their HR processes.
  • Best Practice Assessment: Eagle Hill interviewed 10-12 peer organizations to gather a comprehensive data set about their HR policies and practices, organizational structure, job designs, key capabilities, department size, use of HR systems and automated vs. manual business processes. We then analyzed the data to identify high performance organizations and identify HR best practices. We presented this best practice assessment to our client with recommendations on how they should apply these best practices to improve their HR function.
  • High-Priority Future State Design. Eagle Hill developed future state designs for processes identified as high priority during the first phase. Additionally, Eagle Hill documented the necessary process, policies and organizational changes required to transition from the current to future state.
  • Implementation Planning & Rollout. Eagle Hill facilitated the implementation of the future state design, which included a roll out plan with detailed process documentation, job descriptions and a communications plan as well as training of the HR department on the new processes.

Eagle Hill utilized proven methodologies to help the HR department increase administrative function efficiency. This included comprehensive project planning, stakeholder management and coaching, business process reengineering, workforce analysis, organizational design and change management.

Results
Eagle Hill assisted this nonprofit organization in eliminating redundancies, streamlining HR processes and reducing high risk areas within the HR function. Eagle Hill identified workforce and skill requirements needed to perform HR administrative functions and designed new organizational responsibilities for departmental staff. Additionally, Eagle Hill demonstrated how our client could best take advantage of their new HR system and benefit by maximizing use of its current available feature set.
